The AI Agent Replied with Wrong Information
If your CaterCloud AI agent sends a client an incorrect quote detail, wrong date, or inaccurate policy, this article helps you correct the source of the problem and prevent it from happening again. It's aimed at account owners and managers who oversee AI-assisted client communication.
Why It Happens
The AI agent generates responses based on your configured knowledge base and conversation settings. Wrong replies usually trace back to one of three causes:
- Outdated or inaccurate content in your knowledge base
- The agent being allowed too many conversation turns, increasing the chance of drift
- A mismatch between what the agent is trained on and what your business currently offers
Option 1: Update the Knowledge Base
This is the most common fix and should be your first step.
- Navigate to your AI Agent settings (found within your account or automation settings area)
- Locate the Knowledge Base section
- Review existing entries for the topic that triggered the wrong reply
- Edit or delete the inaccurate content, then save your changes
- Add a corrected entry if the right information was missing entirely
Changes take effect for future conversations; they will not alter messages already sent.
Option 2: Lower the Maximum Turns
If the agent gives accurate early replies but goes off-track in longer conversations, reducing the turn limit can help.
- Open your AI Agent settings
- Find the Max Turns or Conversation Limit field
- Lower the value so the agent hands off to a human staff member sooner
- Save the change
Option 3: Disable the AI Agent Temporarily
If the issue is urgent or you need time to investigate, turning the agent off is the safest short-term action.
- Go to your AI Agent settings
- Toggle the agent off or set its status to inactive
- Notify your team so staff can handle incoming client messages manually
- Re-enable the agent once the knowledge base has been corrected and reviewed
After You Fix It
Test the agent by sending a sample question that previously triggered the wrong answer, and confirm the new response is accurate before re-enabling it for live clients.
> Tip: Review your knowledge base whenever your pricing, menu, or service areas change — keeping it current is the best way to prevent incorrect replies.
