Building a Sequence

Sequences let you automate emails over time — sending the right message at the right moment without manual follow-up. This guide walks you through adding every type of step so your sequence is ready to publish.

Open the Sequence Editor

Go to Sequences and either click an existing sequence or choose Start a new sequence. Inside the editor you'll work in a step list that builds your flow from top to bottom.

Step 1 — Set the Trigger

The trigger decides what starts the sequence. At the top of the editor, use the Trigger picker to choose one of the available events:

• Event created — fires when a new event is added
• When event status changes — fires on a pipeline stage move
• Quote sent / Quote accepted / Quote rejected — fires on quote activity
• New contact added, Payment received, Form submitted, and others

Select the trigger that matches your goal, then configure any extra fields it surfaces (such as a specific pipeline stage).

Step 2 — Add Steps

Below the trigger, add the actions that make up your sequence. Click Add step (or the + button) to insert a new step and choose its type:

• Send — composes an email to go out at this point in the flow. Fill in the Subject line and body. Every send step must have a subject before you can publish.
• Wait — pauses the sequence for a set amount of time (for example, 2 days) before moving to the next step. Use this between messages to control timing.
• Condition — branches the flow based on a rule, so different contacts follow different paths depending on their data.

Repeat this process — Wait → Send → Condition — until your full flow is mapped out.

Step 3 — Save and Publish

The editor autosaves your draft roughly every 8 seconds after a change, and shows you the last saved time. When the sequence is ready:

1. Click Save draft to save immediately.
2. Click Publish to make it live. CaterCloud will flag any issues (such as a missing subject line) before publishing.

Once published, you can Pause the sequence at any time from the editor without losing your setup.
