Viewing and Editing a Contact Record
A contact record is the central hub for everything CaterCloud knows about a single person — whether they're a lead, event organiser, or returning client. Use it to review history, check linked events and quotes, and communicate without leaving the record.
Opening a Contact Record
- Navigate to Contacts in the main menu.
- Find the person using search or the contacts list.
- Click their name to open the full record.
What You'll See on the Record
The record brings together all key information about a contact in one place:
- Contact details — name, email, phone number, and any other saved profile fields.
- Activity history — a log of past interactions, notes, and communications associated with this person.
- Linked events and quotes — any bookings or quotes that have been connected to this contact, giving you quick context before a call or follow-up.
- Messages — a view of communication sent to or received from this contact.
Editing Contact Details
- Click Edit (or the relevant field, if inline editing is available) to update profile information such as name, email, or phone.
- Save your changes before navigating away to avoid losing updates.
Sending a Message from the Record
You can reach out to a contact directly without switching to a separate inbox:
- Locate the messaging area within the record.
- Compose your message and send — it will be logged automatically against this contact's history.
Reviewing Linked Events and Quotes
- Scroll to the linked events or quotes section to see all associated bookings.
- Click any linked event or quote to jump directly to that record for full details.
Deleting or Archiving a Contact
Use the record's action menu for options such as archiving or removing a contact. Take care — removing a contact may affect linked events or quotes.
