Tags & Segments

Segments let you slice your contact list into focused groups — like recent leads or repeat clients — so you can browse them quickly or target them with email sequences. This feature is useful for any caterer who wants to stop scrolling through hundreds of contacts and start working with the right people at the right time.

Getting to Segments

Navigate to Contacts → Segments in the main menu. The page is split into three sections:

• All contacts — a single tile showing your full, unarchived contact count. Click it to return to the main contacts list.
• Preset segments — built-in filters CaterCloud maintains automatically (e.g. recent leads, active clients). You cannot edit these, but you can click any tile to view the contacts inside it.
• Your segments — custom segments you've created and saved yourself.

Creating a Custom Segment

1. On the Segments page, click the New Segment button in the top-right corner.
2. Give the segment a name and, optionally, a description and colour.
3. Set your filter criteria (e.g. contact type, tags, activity).
4. Save — your segment appears under Your segments with a live contact count.

Viewing a Segment's Contacts

Click any segment tile to open the contacts list filtered to that group. The URL updates to reflect the active segment, so you can bookmark it or share it with a teammate.

Editing or Deleting a Custom Segment

Custom segment tiles include action controls directly on the card. Use these to rename, recolour, or delete a segment. Preset segments cannot be modified.

Using Segments with Sequences

Once a segment is saved, you can select it as the audience when setting up an automated email sequence. This means any contact who matches the segment's filters at send time will be included — no manual list-building required.

> Tip: Keep segment names short and specific (e.g. "Corporate leads – Q3") so they're easy to identify when picking an audience inside a sequence.
