Contacts — Your Client CRM

The Contacts section is your central hub for managing client relationships in CaterCloud. It's used by caterers of all types to store client details, track booking history, and communicate directly from one place.

Accessing Contacts

Go to Contacts in the main navigation. Here you'll see your full list of contacts, searchable and filterable by name, tag, or status.

Adding a Contact

  • Click Add Contact to create a new record manually
  • Fill in details including Name, Email, Phone, Company, and Address
  • Contacts are also created automatically when a new enquiry arrives through an embedded form

What's Stored on a Contact Record

Each contact record holds:

  • Basic details: name, email, phone, company, and address
  • Tags for segmenting contacts into groups
  • Notes for internal reminders or context
  • A full history of linked events, quotes, and invoices

Searching and Filtering

Use the search bar to find contacts by name. Apply filters to narrow results by tag or status, which is useful when managing large client lists.

Communicating with Contacts

From any contact record you can:

  • Send an Email directly without leaving CaterCloud
  • Send an SMS for quick outreach or reminders

All communication is logged against the contact for a full conversation history.

Using Tags to Segment Contacts

Tags are labels you assign to contacts to group them by type, preference, or relationship stage. Once tagged, you can use those segments to enrol contacts into Sequences — automated email and SMS campaigns — saving time on follow-ups and nurture.
