Contacts — Your Client CRM
The Contacts section is your central address book for every lead, event organiser, and repeat client your catering business works with. Use it to track key details, spot your best customers, and keep client communication organised in one place.
Getting to Contacts
Navigate to Contacts in the main sidebar. (The path /people redirects here automatically, so old links still work.)
The list loads your 50 most recently added contacts by default, with pagination to browse the rest.
What a Contact Record Holds
Each contact stores:
- Name, Email, and Phone
- Role — the contact's relationship to your business (e.g. lead, organiser)
- Tags — freeform labels you apply for grouping
- Email Opt-in and SMS Opt-in — consent flags for outreach
- Lifetime Value — total revenue attributed to this contact
- Last Event — date of their most recent booking
- Created date — when the record was added
Searching and Filtering
- Use the search bar at the top of the list to find contacts by name, email, or phone.
- Use Segments to filter your list into meaningful groups — for example, high-value clients or recent leads. Segments appear as selectable filters alongside the contact list. Some segments are built-in (system segments); you can also create your own.
How Contacts Are Created
Contacts can be added in a few ways:
- Manually — use the New Contact button on the Contacts page to fill in details directly.
- Automatically — a contact record is created when a booking or quote is linked to a new client.
- Via import — bulk import allows you to bring in an existing client list (check your account's import options).
Archiving Contacts
Archived contacts are hidden from the main list but not deleted. This keeps your active view clean without losing history.
