Creating an event

Creating an Event in CaterCloud

CaterCloud lets you create events quickly so you can capture bookings, assign staff, and start building quotes without delay. This article walks you through creating a new event from the Schedule view.

Getting to the New Event Form

Navigate to Schedule in the main menu. From there, click the New Event button to open the event creation drawer. The drawer slides in over your calendar so you never lose context of your existing schedule.

Selecting an Operation

Before filling in event details, you'll be prompted to choose an Operation — this is the specific business unit (such as a food truck, catering team, or service type) that will be responsible for the event.

  • Only active operations assigned to your account will appear in the list
  • Each operation is listed by name and may display a colour or logo to help you identify it quickly
  • Selecting the right operation ensures the event is attributed to the correct team and appears in the right place on your calendar

Completing the Event Details

Once you've selected an operation, fill in the required fields in the drawer. Required fields are clearly marked — you won't be able to save the event until these are complete. Depending on your setup, typical fields include:

  • Event name — a recognisable title for the booking
  • Date and time — when the event starts and ends
  • Operation — confirmed at the previous step but adjustable here

Fill in any optional details you have available, such as client information or location, to give your team a head start.

Saving the Event

When you're ready, click Save (or the equivalent confirm button at the bottom of the drawer) to create the event. It will immediately appear on your Schedule calendar. If you change your mind, click outside the drawer or use the close control to return to Schedule without saving.

Editing After Creation

Once saved, you can open the event from the calendar to add quotes, assign staff, attach documents, and manage client communication from the event detail page.

> Tip: You can drag and drop events directly on the calendar to reschedule them without opening the event drawer.
