Tracking Event Costs & Profit
The Financials section on an event lets you record estimated and confirmed revenue alongside projected profit — giving you an at-a-glance P&L for every booking. This is useful for food truck operators, event caterers, and corporate caterers who want to track margin before and after an event closes.
Where to Find It
Open any event from your calendar or event list. Inside the event detail panel, scroll to the Financials section. You'll see three fields arranged side by side.
The Three Financial Fields
- Estimated Revenue — Enter the total revenue you expect to bring in for this event (e.g. your quoted amount before confirmation).
- Confirmed — Update this once the client has committed or payment is secured. Tracking both lets you see the gap between pipeline and locked revenue.
- Projected Profit — Enter your expected profit after costs. This is a manual field, so subtract your known costs (food, staffing, travel, equipment) before entering a figure here.
How to Enter or Update a Figure
- Click into any of the three fields — Estimated Revenue, Confirmed, or Projected Profit.
- Type your dollar amount. The $ prefix is displayed automatically; enter numbers only.
- Click away from the field (or press Tab) to save. The value commits on blur — there's no separate save button for this section.
- Repeat for each field you want to populate.
Reading Your P&L
Use the three fields together to build a quick picture:
- Compare Estimated Revenue vs. Confirmed to see how much revenue is still at risk.
- Compare Confirmed vs. Projected Profit to understand your margin for the event.
- Update figures as costs change — for example, if you add last-minute staff, reduce Projected Profit accordingly.
> Tip: Keep your Projected Profit field current as you finalise suppliers and staffing — it's the fastest way to spot a margin squeeze before the event day arrives. For billing, see the Invoices feature to issue charges against confirmed revenue.
