Packing list for an event

Building and Printing the Packing List for an Event

The packing list helps you and your team track every item that needs to leave the kitchen or truck for an event — equipment, power gear, payment devices, safety items, and more. It lives inside each event record and is designed to be printed or saved as a PDF for load-in day.

Opening the Packing List

  1. Open the event from your calendar or events list.
  2. Click the Packing tab on the event detail page.

Building the List

You have three ways to add items:

  • Auto-suggest from menu — Click Suggest items (the sparkle icon) to have CaterCloud generate packing items based on the menu sections attached to the event. Duplicates are skipped automatically.
  • Apply a template — Click the Templates button to load a saved packing template (e.g. "Standard truck setup"). Items are merged with anything already on the list.
  • Add manually — Fill in the label, choose a category (such as Equipment, Power, or Other), optionally enter a qty, then click Add. Use this for one-off items that don't belong to a template.

You may also see historical suggestions — items your operation has packed before on similar events. Click Accept to add one or × to dismiss it.

CaterCloud saves your changes automatically as you work. A brief Saving… / Saved indicator confirms each save.

Printing or Saving as PDF

Once your list is ready:

  1. From the Packing tab, click Print / Save PDF.
  2. The printable sheet opens in a new view, showing the event name, date, time, location, and all items grouped by category — each with a checkbox to tick off during load-in.
  3. Use your browser's print dialog to print or save as PDF.

To return to the event, click ← Back to event at the top of the print view.

Saving a List as a Template

If the list is reusable, click Save as template, enter a name, and it will appear next time you click Templates on any event.

> Tip: Attach your menu sections to the event before running Suggest items — the more complete the menu, the better the suggestions.
