Managing Your Bookings with Events
The Events section is your central hub for tracking every catering booking from first enquiry through to completion. It's designed for food truck operators, event caterers, and corporate catering teams who need to manage multiple jobs at once.
Viewing Your Events
Go to Events from the main navigation to see your bookings. Switch between views using the List and Calendar buttons at the top of the page. The calendar supports Day, Week, and Month views — drag and drop any event to reschedule it quickly.
Creating a New Event
- Click New Event to open the event form
- Fill in the Client Name, Date/Time, Venue, Guest Count, and Menu Selection
- Add any relevant details in the Notes field
- Save the event to add it to your pipeline
Managing Pipeline Stages
Each event moves through four stages: Lead, Quoted, Confirmed, and Completed. Update the stage as your booking progresses to keep your pipeline accurate and your team aligned.
Using Event Tabs
Once an event is open, use the tabs to manage every aspect of the booking:
- Details — view and edit the core event information
- Costs — add per-head and fixed costs; see a live profit and loss summary
- Quote — build and send a quote to your client
- Invoice — generate and manage invoices
- Staff — assign team members and build your roster
- Requirements — log logistics such as equipment and accommodation needs
- Notes — keep internal notes related to the booking
Staying Organised
Use the pipeline stages alongside the calendar view to get a clear picture of upcoming workload and booking status at a glance.
> Tip: Once an event is confirmed, head to the Staff tab to start building your roster before the booking date approaches.
