Experiences — Cooking Classes, Tastings & Workshops
Experiences let you create bookable classes and workshops — cooking classes, tastings, pop-ups, and more — that customers can reserve online. It's ideal for food trucks and caterers who run recurring public events alongside their regular catering work.
Before You Start
Experiences must be enabled in your account settings before the menu item appears. Go to Settings → Experiences and turn the feature on.
Creating a New Experience
- In the main navigation, click Experiences.
- Click New experience (top-right).
- Fill in the core details:
- Title — the public-facing name of your class or event.
- Type — choose from Cooking class, Tasting, Workshop, Private chef, or Pop-up.
- Tagline — a short description shown on the listing card.
- Description, Highlights, What's included, What to bring, and Requirements — add as much detail as customers need.
- Set the Location type and enter your venue details (name, address, suburb, postcode).
- Configure Seats:
- Min seats and Max seats control how many guests can book each session.
- Tick Private only if this experience is never sold seat-by-seat to the public.
- Set Pricing:
- Choose a Pricing mode (per seat or flat price) and enter the amount.
- Configure your Deposit type, Deposit value, Capture strategy, and Cancellation policy.
- Upload photos using the Upload button.
Adding Sessions (Dates & Times)
Once the experience is saved, use the Schedule section to add individual sessions. For each session you can set the start and end time, capacity, and whether it is private. Sessions appear on the experience card as upcoming, alongside the number of seats already booked.
Publishing
When you're ready to take bookings, change the Status from Draft to Active. You can also pause or archive an experience at any time using the same status control.
Monitoring Bookings
Back on the Experiences page, each card shows the number of upcoming sessions and total booked seats at a glance.
> Tip: Once an experience is active, link it to a client record or quote using the standard booking flow — check the Events section for how experiences connect to your wider calendar.
