Forms — lead capture

Forms: Capturing Leads and Sending Them to Your Pipeline

Forms let you collect enquiries directly from potential clients — website visitors, event attendees, or anyone you send a link to — and automatically route their details into your CaterCloud contacts and pipeline.

What Forms Do

When someone fills out one of your forms, CaterCloud:

  • Creates or matches a contact record using the submitted details
  • Places the lead into your pipeline at the stage you configured
  • Notifies you by email so you can follow up quickly

No manual data entry needed — the submission does the work.

Finding Your Forms

Go to Forms in the main navigation. This page lists all your existing forms along with their status (draft or published) and submission counts.

Building a New Form

  1. From the Forms page, create a new form to open the Form Builder.
  2. Use the drag-and-drop builder to add and arrange fields — text, email, phone, radio buttons, and more.
  3. Add conditional logic to show or hide fields based on a respondent's previous answers.
  4. In the form Settings, configure:
  • Thank you message — what respondents see after submitting
  • Notifications — email addresses that receive an alert on each new submission
  • Progress bar — show respondents how far through the form they are
  • Allow multiple submissions — control whether the same person can submit more than once

How Submissions Flow In

Each form has a pipeline configuration that determines where new leads land. When a submission arrives:

  • A contact is created (or updated if the email already exists)
  • The lead is added to the pipeline at the initial stage you set — for example, *Enquiry*
  • You can then work the lead through your pipeline stages as normal

Previewing Before You Publish

Use the Preview option from the builder to see exactly how your form looks to respondents before sharing it. The preview shows the full question-by-question experience including your branding settings.

Tip: After publishing a form, check the Forms page regularly to monitor submission counts — a spike can signal a campaign is performing well.
