Google Calendar sync

Updated 21 July 2026

Sync Your Bookings with Google Calendar

CaterCloud can automatically push your events to Google Calendar, keeping your bookings visible alongside the rest of your schedule — no manual exports or URL copying required. This is ideal for owners, managers, and anyone who lives in Google Calendar day-to-day.

How It Works

Once connected, CaterCloud creates a dedicated named calendar for each of your locations inside your Google account and keeps them in sync automatically. Changes you make to bookings in CaterCloud appear in Google Calendar within minutes.

Connecting Google Calendar

  1. Go to Settings → Calendar.
  2. Under the Connect Google Calendar section, click Connect Google Calendar.
  3. You'll be taken to Google's sign-in flow — choose the Google account you want to sync to and grant the requested permissions.
  4. CaterCloud will redirect you back to Settings → Calendar. You'll see a connected badge showing the linked email address.

That's it. Your location calendars will appear in your Google account automatically.

After Connecting

  • Your connected email address is shown next to the badge so you can confirm the right account is linked.
  • Events appear within minutes of any change made in CaterCloud.
  • If you see a notice saying *"Your calendars are still being created,"* wait up to an hour — the system will finish provisioning on its own. If calendars don't appear after that, Disconnect and reconnect.

Disconnecting Google Calendar

  1. Go to Settings → Calendar.
  2. Click Disconnect next to your connected Google account.

CaterCloud will immediately stop syncing to that Google account.

What Gets Synced

You can control which pipeline stages appear in your calendar feed using the preference toggles on the same Settings → Calendar page — for example, showing only Confirmed and Booked events, or including staff availability blocks.

Tip: If you use Apple Calendar, Google Calendar sync won't help there — use the webcal:// feed URL on the same page to subscribe directly instead.
