Inbox — client messaging

Inbox: Managing Client Messages

The Inbox brings all your client conversations into one place, so you and your team can respond to enquiries, follow up on quotes, and stay on top of communications without switching between email and SMS apps. It's designed for any catering business handling multiple bookings and client threads at once.

Finding the Inbox

Go to Inbox from the main navigation. Conversations are grouped by client, with the most recent activity shown first.

Filtering Your Conversations

Use the filter options at the top of the conversation list to focus on what matters:

  • Unread — shows only conversations with new messages
  • AI-handled — messages that were answered automatically by your AI assistant
  • Needs attention — conversations flagged for human review

Replying to a Client

  • Open a conversation to view the full message thread
  • Type your reply in the message box at the bottom
  • Select Email or SMS to choose how your reply is sent
  • Click Send to deliver the message

Using the Context Panel

The right-hand panel gives you relevant details without leaving the conversation:

  • Client details — contact information and history
  • Linked event — the booking or event associated with this thread
  • Quote status — current status of any attached quote

Managing AI-Assisted Replies

Your AI assistant can respond automatically to common enquiries based on your knowledge base. To configure this, go to Settings → AI Agent.

When the AI isn't confident enough to reply, it flags the conversation under Needs attention so you can step in. You can review what the AI suggested before sending your own response.

Tips

  • Keep your knowledge base up to date in Settings → AI Agent to improve the accuracy of automated replies — the more detail you provide, the fewer conversations will need manual follow-up.
