Invoices — billing your clients

Invoices
Invoices let you bill clients for catering jobs, track what's been paid, and collect payments online. This feature is useful for any catering business that needs a clear, professional paper trail from quote to payment.
Creating an Invoice
You can create an invoice in two ways:
- Generate from a quote — open an existing quote and select Create Invoice. Line items, pricing, and client details will carry across automatically.
- Create manually — go to Money → Invoices and click New Invoice, then fill in the client and job details from scratch.
Adding Details
Once the invoice is open, you can:
- Add or edit Line Items (services, products, staffing costs)
- Apply a Discount as a percentage or fixed amount
- Set a Payment Due Date
- Add any internal Notes or client-facing Terms
Sending to Your Client
Click Send Invoice to email the invoice directly to your client. If you have Stripe connected, the email will include a Pay Online link so clients can pay by card immediately. If Stripe isn't set up, clients can still receive the invoice as a PDF attachment.
Tracking Payment Status
Each invoice displays one of the following statuses:
- Draft — not yet sent
- Sent — delivered to the client
- Partially Paid — some payment received
- Paid — settled in full
- Overdue — past the due date with no full payment
Recording Manual Payments
For cash or bank transfers, open the invoice and select Record Payment. Enter the amount, date, and payment method to keep your records accurate.
Downloading as PDF
Use the Download PDF option on any invoice to save or print a copy for your records.
