Orders — catering orders

Orders — Managing Catering Orders in CaterCloud

Orders are the core of your workflow in CaterCloud — they represent confirmed or in-progress catering jobs and let you track every booking from first confirmation through to completion. This article covers what orders are, how statuses work, and what you can do on an order detail page.

What Is an Order?

An order records a catering job for a specific client, including the scheduled date, line items, pricing, address, and any notes. Orders live at Orders in the main navigation.

Order Statuses (Pipeline Stages)

Every order moves through a pipeline. The current stage is shown on the order detail page, and you can advance it using the primary action button in the header.

  • Orders progress through stages automatically as you action them
  • Use the Cancel order button to move an order to a cancelled state at any point before it reaches a terminal stage
  • Cancelled and other terminal-stage orders cannot be advanced further

Viewing an Order

Click any order from the Orders list to open its detail page. At the top you'll find:

  • The order stage and scheduled date
  • Edit order — opens a side panel to update core order details
  • Cancel order — cancels the booking
  • Delete — permanently removes the order (requires a confirmation step: click Yes, delete to confirm or Keep to go back)
  • Make recurring — appears when the order isn't already linked to a recurring template; lets you set up a repeating schedule for this booking

Editing Line Items

The Items section on the order detail page lists all products or services on the order, with quantities and unit prices. To make changes:

  1. Click Edit in the Items section header
  2. Update quantities, names, unit prices, or notes for any row
  3. Add a new row with the + button, or remove one with the trash icon
  4. Click Save to apply changes — the order total updates automatically

Deleting vs. Cancelling

  • Cancel order keeps the order record but marks it as cancelled — useful for reporting
  • Delete removes it permanently and returns you to the Orders list

Tip: If a job repeats regularly, use Make recurring to avoid recreating the order each time — linked recurring orders share a template for faster scheduling.
