Pipeline — tracking your leads

Tracking Your Leads with Pipeline

The Pipeline gives you a visual overview of every active lead, from first enquiry through to completed event. It's designed for catering businesses that need to manage multiple opportunities at once and stay on top of follow-ups.

Getting to Pipeline

Go to Pipeline in the main navigation. You'll see a kanban-style board with columns representing each stage of your sales process.

Understanding the Stages

Leads move through the following columns from left to right:

  • New Enquiry — freshly received leads that haven't been assessed yet
  • Qualified — leads you've confirmed are a genuine opportunity
  • Proposal Sent — client has received a quote or formal proposal
  • Negotiating — active back-and-forth on pricing or details
  • Confirmed — booking is agreed and locked in
  • Completed — event has taken place
  • Lost — leads that didn't convert (removed from your active funnel)

Moving a Lead Through the Pipeline

Each lead appears as a card showing the client name, event date, estimated value, and days since last contact. To update a lead's stage:

  • Click and drag the card into the appropriate column
  • The stage updates automatically — no need to save manually

Adding and Viewing Lead Details

  • Click any card to open the full lead record
  • From there you can update contact notes, edit the estimated value, or review the event details
  • Use the days since last contact indicator on each card to prioritise who needs a follow-up

Keeping Your Pipeline Accurate

  • Move leads to Lost rather than deleting them, so you retain a record
  • Regularly review cards sitting in Proposal Sent or Negotiating — these are your highest-priority follow-ups
  • Archive or complete leads promptly after events wrap up to keep your board uncluttered

> Tip: Use the Quotes feature to generate and attach proposals directly to a lead, keeping everything in one place.
