Tracking Your Leads with the Pipeline
The Pipeline gives you a kanban-style view of every client in your CaterCloud account, organised by stage so you can see at a glance who needs attention and where each lead sits in your workflow. It's useful for anyone managing enquiries, bookings, or ongoing client relationships.
Getting to the Pipeline
Navigate to Events → Pipeline (or go directly to /events?view=pipeline). Bookmarked pipeline URLs — including any filters or search terms you had open — will continue to work and drop you back in the same view.
How the Kanban Board Works
The board displays one column per client stage. Columns run left to right in a standard handoff sequence:
- Free → Trialing → Active → Intake → Menu → Build → Ads → Live → Ascended
- Clients on hold appear in an Onhold column; overdue accounts appear under Past Due
- Any clients with an unrecognised stage are grouped in an Unmapped column at the far right
Each column shows a count badge so you can quickly see how many clients are sitting in each stage.
What Each Card Shows
Every card displays the key details you need to prioritise your next action:
- Client name — click the card to open the full client record
- Owner email — who on your team is responsible
- Source badge — CC (CaterCloud) or PEE, so you know where the lead originated
- Last agent run — the name of the most recent automated agent and how long ago it ran (e.g. *Sarah · 3h ago*); cards showing *no agent runs* may need a manual nudge
- Pending approvals count — a highlighted badge appears when one or more items are waiting for sign-off; tackle these first
- Ads badge — shown when active ad campaigns are running for this client
Prioritising Follow-Ups
Focus on cards that show:
- A pending approvals badge — these are blocking progress
- *No agent runs* — these clients haven't been touched recently
- Stages early in the sequence (Free or Trialing) that have been sitting idle
If you prefer a flat list rather than columns, switch to the list view using the view toggle above the board.
> Tip: The pipeline syncs automatically every 2 minutes — refresh the page if a recently updated client hasn't appeared yet.
