Purchase Orders

Purchase Orders in CaterCloud let you create and track orders sent to your suppliers, linking them directly to the ingredients and events that need fulfilling. This feature is built for food truck operators, event caterers, and corporate catering teams who need a clear paper trail between what they've promised clients and what they've ordered from vendors.

Getting There

Navigate to Purchase Orders from the main sidebar. This opens the Purchase Orders hub, where all your supplier orders are listed and managed in one place.

Creating a Purchase Order

  1. From the Purchase Orders hub, click the button to create a new order.
  2. Select the Supplier you're ordering from.
  3. Add the ingredients or items you need, along with quantities and any relevant details.
  4. Link the order to an event if the purchase is tied to a specific booking — this keeps your event costs connected to real supplier spend.
  5. Save the order to add it to your purchase orders list.

Tracking Purchase Orders

Once created, your purchase orders are visible in the hub so you can monitor their status at a glance. Use the list to:

  • Review outstanding orders — see what has been ordered but not yet received.
  • Check supplier and ingredient details — confirm what was ordered and from whom.
  • Update order status — mark orders as received or make adjustments as needed.

Linking Orders to Events

Connecting a purchase order to an event is one of the most useful things you can do in this workflow. It means your ingredient costs are tied directly to the booking they support, giving you a clearer picture of per-event profitability and helping you avoid over- or under-ordering when multiple events are running at the same time.

Staying Organised

Keep your supplier list up to date so that creating new purchase orders stays quick — the more complete your supplier records, the faster you can raise an order when you need to.

> Tip: Purchase orders work best alongside your ingredient inventory — keeping both updated means your stock levels and supplier spend stay accurate across all your events.
