Quote/Invoice PDF Shows the Wrong Logo or Business Details
If your quotes or invoices are generating PDFs with an outdated logo, incorrect business name, or wrong contact details, this guide will help you fix it. This is relevant to any CaterCloud user who sends client-facing documents.
---
Why This Happens
PDFs pull business information from two places: your Business Profile and your document settings. If either is out of date, the generated PDF will reflect the old details.
---
Step 1: Update Your Business Profile
Your logo and core business details are stored in your account's profile settings.
- Navigate to Account Settings → Business Profile
- Update any incorrect fields, including:
- Business Name
- Address
- Phone and Email
- Website
- To replace your logo, look for the Logo field and upload a new image file (PNG or JPG recommended)
- Save your changes before leaving the page
---
Step 2: Check Your Quote and Invoice Settings
Some details — such as footer text, payment terms, or a secondary tagline — may be configured separately within your document settings.
- Go to Settings → Quotes & Invoices (or your equivalent document settings area)
- Review fields like Business Display Name, Footer Text, and any branding options
- Make sure these match what you updated in your Business Profile
- Save any changes
---
Step 3: Regenerate the Document
Existing quotes or invoices may have been generated before your update and will not refresh automatically.
- Open the relevant quote or invoice
- Use the Preview or Regenerate PDF option to produce a fresh version with your updated details
- Download or re-send the document to your client as needed
---
Still Seeing Old Details?
- Clear your browser cache and reload the page
- Confirm the logo file uploaded successfully — an oversized or unsupported file may silently fail
- Check that you saved changes in both the Business Profile and document settings
---
> Tip: After updating your branding, send yourself a test quote to confirm everything looks correct before your next client communication.
