Schedule — staff roster calendar

Schedule: Managing Your Staff Roster

The Schedule page gives you a visual overview of all staff assignments across your upcoming events, making it easy to manage coverage, spot conflicts, and keep your team informed. It's designed for managers and administrators who coordinate staff across multiple bookings.

Viewing the Schedule

Go to Staff → Schedule to open the roster calendar. Use the view toggle at the top of the page to switch between Day, Week, and Month views depending on how much detail you need. Each shift block is colour-coded by role, so you can quickly distinguish between, for example, servers, chefs, and drivers at a glance.

Filtering the Calendar

To focus on a specific person or role, use the Filter options at the top of the calendar:

  • Select a staff member's name to see only their assigned shifts
  • Filter by Role to view coverage across a particular position
  • Clear filters to return to the full team view

Adjusting Shifts

You can drag and drop shift blocks directly on the calendar to adjust timing. Click on any shift to open its details, where you can edit the assigned staff member, update times, or remove the assignment entirely.

Sending Shift Notifications

Once shifts are assigned, staff can be notified automatically. Notifications are sent via email or SMS based on each team member's preferences. To trigger or review notifications, open the shift details and check the Notifications section.

Staff Confirmations

Team members can confirm or decline their shifts through the Staff Portal, accessible from their phone or any browser. Their responses update in real time on your Schedule view, so you always know who has confirmed.

> Tip: If you notice coverage gaps, cross-reference the Schedule with your open bookings on the Bookings page to prioritise which events need staffing first.
