Scheduling Settings

The Scheduling settings page lets owners and admins control how staff shifts, breaks, and overtime are handled across all bookings. If you manage rotas, set pay rates by role, or need consistent compliance guardrails, this is where you configure those defaults.

Who Can Access This Page

Only users with an Owner or Admin role can view and edit scheduling settings. Staff-level accounts will not have access.

Getting There

Navigate to Settings → Scheduling from your main navigation. The page is split into two sections: Role Rates and Scheduling preferences.

Role Rates

The Role Rates section lets you define hourly costs for each staff role (for example, Chef, Server, or Driver).

  • Add or update a rate for each role your business uses
  • Rates feed into quote and invoice calculations automatically
  • Changes apply to future bookings; existing invoices are not retroactively updated

Scheduling Preferences

The Scheduling section controls the default rules applied when building or reviewing shifts:

  • Default shift times — set the standard start and end times used when a new shift is created
  • Break rules — define minimum break durations based on shift length to stay compliant with working-time requirements
  • Overtime rules — configure when overtime kicks in and how it is flagged
  • Compliance guardrails — set limits that prevent shifts from being saved if they breach your defined thresholds
  • Auto-schedule defaults — control the baseline behaviour when using any automatic scheduling tools

Saving Your Changes

After updating any field, click Save to apply your changes. Settings take effect immediately for any new shifts or bookings created after saving.

Tips for Getting the Most Out of This Page

  • Set role rates before creating quotes so cost estimates are accurate from the start
  • Use compliance guardrails to reduce manual checking when approving staff rotas
