Sequences
Sequences let you automate email and SMS communication with clients so nothing falls through the cracks. They're ideal for catering businesses that want to follow up on enquiries, send event reminders, or check in after a job — without doing it manually every time.
What You Can Do with Sequences
- Automatically follow up after a quote is sent
- Send event reminders to clients a set number of days before their booking
- Follow up after an invoice is paid or an enquiry is received
- Chain multiple messages together with wait steps between each one
Building a Sequence
Go to Sequences in the main navigation. Click New Sequence to get started.
Every sequence is made up of steps you add in order:
- Trigger — the event that starts the sequence (e.g. *Quote Sent*, *Event Confirmed*, *Invoice Paid*)
- Wait — a delay before the next step runs (e.g. wait 2 days, wait 3 hours)
- Send — an email or SMS message sent to the client
- Condition — a branch that checks something before continuing (e.g. if the client has not replied, send a follow-up)
Add steps using the + Add Step button and configure each one using the panel on the right. Give your sequence a clear name so it's easy to identify later.
Activating and Monitoring a Sequence
Once your sequence is ready, toggle it to Active. It will then run automatically in the background whenever the trigger condition is met.
To see how a sequence is performing, open it and go to the Run History tab. This shows which contacts received each message and when.
Pausing or Editing a Sequence
Toggle the sequence to Inactive before making changes. This prevents messages from sending mid-edit while the sequence is still running.
