Reviewing and Approving Timesheets

The Timesheets screen gives managers a single place to review every staff member's hours for a given week, approve shifts, and export a payroll-ready file. It's designed for anyone responsible for signing off on crew time before pay runs.

Getting There

Navigate to Schedule → Timesheets. The page opens on the current ISO week by default.

Navigating Between Weeks

Use the and arrow buttons to step backward or forward one week at a time. The date range shown (e.g. *Mon 2 Jun – Sun 8 Jun*) confirms which week you're viewing. A This week label appears when you're on the current week.

Reading the Timesheet Lines

Each row represents one assigned shift for a named staff member. For every row you can see:

  • Staff name and Role
  • Date of the shift
  • Scheduled hours — based on the rostered start and end times
  • Actual hours — derived from check-in and check-out data
  • Paid hours — the hours that feed wage calculations, accounting for breaks and any approved-hours override
  • Regular hours and Overtime hours — split according to your scheduling preferences
  • Total cost — paid hours multiplied by the applicable rate
  • Status badge — one of Ready to submit, Awaiting approval, or Approved

Open shifts and cancelled shifts are excluded automatically.

Approving a Timesheet Line

  1. Locate the shift row you want to action.
  2. Use the available action button for that row to Submit, Approve, or Reopen the line depending on its current status.
  3. A confirmation toast appears when the action succeeds.

You can also edit the approved hours field on a row before approving if the actual hours need a manual correction.

Exporting for Payroll

Click Export CSV (top-right) to download a spreadsheet containing all visible rows plus a totals footer. The file name includes the week date range for easy filing. If the week has no shifts, the export is blocked and a notice appears.

Tip: Timesheet costs roll up from the same shift wage data used in event quotes — keeping your labour budgets and payroll figures in sync.
