What goes wrong
Where a food truck loses money it never sees
None of these show up in the bank balance as a line. That is exactly why they persist.
Today
The gig looked fine on the day
Good queue, busy service, tired and happy. Whether the pitch fee, the fuel, the stock and two crew left anything behind is a feeling rather than a figure.
With CaterCloud
Each gig carries its own profit, with fuel and travel derived from the actual distance rather than quietly counted as zero.
Today
Private enquiries arrive and wait
You are on site with your hands full. The enquiry sits until that night, and the birthday gets quoted by someone quicker.
With CaterCloud
Your real dates are on your own site, so a customer can see the Saturday is free and take it while you are still serving.
Today
Every date is priced the same
A Saturday in December costs more to crew than a Tuesday in February, and a flat price hands that difference away without anyone deciding to.
With CaterCloud
Day-based pricing applies the date’s own rate, so peak dates carry it automatically.
Today
Crew is a group chat
Who is on the window Saturday, who replied, who you asked twice. It works until the week it does not, and then it is a no-show.
With CaterCloud
A callout goes out as a text, they tap yes or no with no account to make, and the roster fills itself.
The two lanes
Private bookings, and public gigs
The same calendar, but the work either side of it is not the same shape.
Private · the enquiry
Someone wants you at a party. Your real availability answers before you do, and the quote prices from your menu.
Private · the deposit
They accept and pay in their own portal, and the booking confirms itself on the board and the calendar.
Public · find and shortlist
Search public events within a radius of your home base, save the searches that matter, and heart the ones worth chasing.
Public · apply
Submit to the organiser and track it through to submitted. The gig sits on the same calendar as everything else.
What the day made
Takings in, everything out, what is left
The number that matters is at the end, and almost nothing shows it to a food truck operator honestly.
03 — In their words
Caterers who love CaterCloud
“The moment I realised this was actually working was waking up in the morning and having the leads in my inbox already — without chasing the business. I've gone from one booking a month to three or four.”
Michelle
Owner, Michelle's Catering
50–60% of leads converted
“I run three businesses, so chasing quotes and back-of-house was really hard work. Now people order and pay through the website and get a quote instantly — I don't have to lift a finger.”
Mel
Owner, Junction Cafes
2–3 a day enquiries, was 2–3 a week · admin halved
“This software does it all for us — our invoicing's done, our payment schedules are done, the quoting tool's there. We can be asleep and still get leads. Without it, our truck would be sitting in the backyard not generating revenue.”
Steve & Amanda
Owners, Travelling Carnivores
45–55 quotes sent / month
“We've collected $40k just in deposits. Our calendar is filling up — we're actually in the process of getting a second van. One job alone basically paid for the whole system.”
Jacinto
Owner, Spanish Paella & Sangria
$40k in deposits
“These guys know how to improve your web page and the inquiries coming in. I'm three months into next year already confirmed — that's never happened in 12 years.”

Where CaterCloud is the wrong answer
You need a till at the window
This is not a point of sale. It does not take counter payments or run a card reader, and if that is the problem, a POS solves it and this does not.
You only ever trade one market
Same pitch, same day, every week, cash at the window. There is very little here you are not already holding in your head.
You want stock counted at the window
Ingredients and costs are modelled; live per-item depletion as you sell is not what this does.
Questions
What food truck operators ask
- What does food truck software actually do?
- The parts that are not cooking: showing where you will be trading, taking private bookings, pricing a gig against what the food and the fuel cost, rostering whoever is on the window, and telling you afterwards what the day made.
- Can it help me find gigs?
- There is a discovery surface for public events with saved searches and a radius from your home base, and you can shortlist and apply from it. Whether an organiser’s acceptance flows back automatically is not something we will claim until it is confirmed.
- Does it handle both private bookings and public events?
- Yes, and they are genuinely different jobs. A private booking is an enquiry, a quote and a deposit. A public gig is a pitch fee, a crowd estimate and a day’s takings. Both land on the same calendar.
- Is it a point of sale?
- No. It does not run the till at the window. If a POS is what you need, buy a POS — this is the diary, the quoting and the money around it.
