Pick them
When Better Cater is the better choice
If one of these is you, they will serve you better than we will, and you should go and talk to them.
You want e-signatures on your proposals. They include 10 a month on Plus and unlimited on Premium; CaterCloud takes an acceptance and a deposit, and has no contract-signing flow.
You are one person and intend to stay one person. Their entry plan is built for exactly that, and its price says so plainly.
You want an API. Premium lists API access; CaterCloud has no public API and does not pretend otherwise.
You are US-based and want a US-based vendor. They are, and that matters for support hours.
Where we differ
What CaterCloud does that is genuinely different
The crew are free
A callout goes out as a text and your staff tap yes or no — no account, no app, no seat. Casual crew will never install software, and pricing that charges per user turns your roster into a bill.
It knows what the food costs
Quotes price against your ingredients and your overheads, and each event reports what it actually made. Most event software tracks what you charged; the harder question is what you kept.
It is built for a phone
The day, the money, the menus and the team are all designed for the device you actually have on you at a job, rather than a desktop screen shrunk down.
You can try it without talking to anyone
Free to start, and the widgets run in your browser before you sign up for anything.
Questions
What people ask when they are switching
- What does Better Cater cost?
- They publish it, which is genuinely to their credit in a category that mostly does not. Plus is $99/mo, or $83/mo billed annually ($996/yr); Premium is $149/mo, or $125/mo billed annually ($1,500/yr). There is no setup fee and a 30-day trial with no card required. Check their pricing page for the current figures.
- So where does the difference show up?
- In the crew. Their Plus plan includes one user, and each additional team member is $20/mo on annual billing or $25/mo monthly. That is fine for one person; for a caterer running six casuals it is a second bill that grows every time you hire. CaterCloud is flat monthly, and a crew member does not need an account at all — you send them their run and it arrives as a message on the phone they already have.
- Which of us has more features?
- They have things we simply do not: e-signatures on proposals, and an API on their Premium plan. We have things they do not: quoting against what your food actually costs, day-based pricing, and the public gig side for trucks and stalls. Neither list makes one of us better — they make us suited to different businesses.
- Do you cost your food the way they do?
- This is the substantive difference rather than the pricing one. CaterCloud prices a package from your own dishes and shows the food cost per head and the margin before you send — and it says which of those numbers rests on an estimate rather than a confirmed price. A quoting tool that does not know your ingredient costs cannot tell you whether the job was worth doing.
- Should I just use Better Cater?
- Quite possibly. If you are one person, intend to stay one person, and want signed proposals, their entry plan is built for exactly that and priced accordingly. Come back to us when you start putting crew on jobs, or when you want to know your margin before you quote rather than after.
